We are seeking a skilled Customer Operations Manager to join our growing team of professionals at ProSource Wholesale. The Customer Operations Manager will primarily be focused on providing day-to-day administrative support for the showroom while maintaining smooth operational paper flow. This person’s role is essentially to handle the day to day operations of the showroom, allowing sales staff to concentrate on selling to our members. Job Responsibilities

As a Customer Operations Manager, you are responsible for handling various tasks related to the administrative support of the showroom, allowing the Management and Sales team to concentrate on sales, members and prospects. This will include answering telephone calls, handling customer service related requests, notifying members when their orders arrive, placing orders, etc.

Other responsibilities for the Customer Operations Manager will include:

  • Supervise the operational functions of the showroom
  • Ensure a smooth flow of operations and customer service by communicating with the Account Managers and Store Manager
  • Interface with the operational shared services such as Claims Manager, Accounting, Central Processing, and Warehouse.
  • Perform and manage the following functions as a lead expeditor.  Review the work of other expeditors, coach and give feedback to ensure accurate performance.
  • Enter quotes for the salesperson into the system in a timely manner
  • Process Product Record if necessary for products not in the system
  • Export sales peoples orders to order entry, be sure to notate special pricing and shipping if any
  • Order, acknowledge and receive products for will call and hot rush special orders
  • Work with Central Purchasing to track orders, notify Account Managers immediately with backorders, and notify when received.
  • Verify ticket is paid or that ticket has terms before printing a pick ticket. Collect money from the customer before printing a pick ticket if no terms.
  • Greet customers in the showroom, ask them to follow the sign-in process used by the showroom and assist them whenever possible.
  • Listen and understand what customers’ needs in order to direct them to the right person
  • Run Cash and Credit Card reports, balance and send to Deposits email
  • Prepare bank deposits and make timely bank deposits
  • Manage Accounts Receivable aging report with Manager

Job Requirements

We are looking for a Customer Operations Manager candidate who possesses a strong administrative background and a working knowledge of our accounting system. In addition, the Customer Operations Manager must have good follow-up skills and a strong attention to detail in order to be considered.

Other requirements for the Customer Operations Manager include:

  • High School diploma or equivalent
  • 3+ years of experience relating to office management, bookkeeping or similar backgrounds
  • Ability to courteously answer telephone calls and write business correspondence
  • Ability to understand and effectively communicate numerical data as well as calculate figures and amounts (i.e. discounts, interest, commissions, and percentages)
  • Proficient in MS Outlook, Word, Excel and Internet communications software
