ProSource of Indianapolis is looking for a highly-organized and energetic person to join the team as a Purchasing Agent / Office Manager. We need a proactive problem-solver who isn’t afraid to handle multiple tasks and interact directly with our sales staff.

Under the supervision of the Sales Manager, the Office Manager will provide day-to-day administrative support for the showroom. This position is crucial in maintaining smooth operational papers flow, allowing the management team and sales team to concentrate on sales, members, and prospects. This position is responsible for the purchasing and management of inventory items, supplies, claims and services to meet the needs of the company and the customers that we serve.

Essential Duties & Functions:

  • Manage and purchase inventory to fulfill customer orders and select stocked merchandise.
  • Review open orders and inventory for potential situations and take necessary action to prevent customer and stock issues and maintaining relationships with vendors and keeping them informed of any issues, special orders, and returns.
  • Professionally negotiate with vendors to assure price, terms, and conditions of products and follow up with claims.
  • Issues accurate purchase orders on a timely basis to ensure delivery of inventory.
  • Assist Accounts Payable and Receiving in reconciling discrepancies.
  • Work in a collaborative manner with Sales regarding new product sourcing, faulty products, and customer requirements in order to achieve shared objectives.
  • Job cost all orders and handle shipping authorizations.
  • Maintain and update product knowledge on an as-needed basis through review of online resources of ProSource, manufacturers’ literature and industry publications.
  • Balance cash and purchase postings daily.
  • Prepare daily bank deposits of cash and checks and post all deposits to the computer.
  • Maintain the showrooms pricing and sample system and update price tags as needed.

Job Requirements

Our ideal candidate will have previous experience in the use of software systems for accounts payable/receivable, bank transactions, purchase orders, and inventory management.

Other requirements include:

  • Proficiency in Microsoft Outlook, Word, and Excel.
  • Ability to understand and effectively communicate numerical data.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, and Percentages.
